Sponsorship Rules of Turkish Cardiology Congress Congress

The information letter of sponsorship instructions in reference to supplying booth/satellite/ and other services and fees of the congress organized by the Turkish Society of Cardiology held yearly in October-November, will be sent to all company representatives at the beginning of January each year.

The answer is requested in a month starting from the date of the letter and all replies are collected at the association center. The Board evaluates the replies and identifies the committed activities of companies according to demands.

Information and the budget for the defined activities will then be sent to the companies. Written confirmation is requested. A company, which sends a written confirmation for any activity, is obliged to pay for the activity even if it has not been realized by any means. If the payment has not been made the activities for the coming year will be restricted.



Satellite Symposium Rules

  • The companies are to inform the Scientific Committee of the satellite symposium details like; subject / speaker /Chair of the session- to be held on the day and time stated in the program book. The complete information on satellite symposium program is to be confirmed at the beginning of June of the same year-the latest. If the information is not reported, the satellite symposium program will not be included in the program book.

  • Satellite Symposium program may be presented as an invitation card within the congress bag.

  • The companies can deliver promotional material and/or food and beverages at the entrance of the symposium hall at half an hour before the start of the session.

  • The company brand can be exhibited on the hall screen until the beginning of the meeting. Two flags/ banners can be hung from identified points during the meeting.

  • The satellite symposium posters may only be exhibited on the places defined by the congress secretariat and at the entrance of the meeting hall.

  • The conduct of the satellite symposium halls may only be determined by the congress organization.
     

Rules for the booths

  • The titles of the companies having booths in the congress are listed alphabetically in the congress book.

  • The companies may arrange the defined booth area within the given limits of the area like height, length etc. They are to be careful to keep the visual integrity of the congress.

  • All authorized personnel of the companies having booths have to be registered. Only one person is registered free of charge, for each booth unit.

  • All the activities of interest within the booth area like; distributing promotional materials to the participants, organizing cultural activities, food and beverage offers, may be organized after approval of TSC, should be handled with care and should not disturb other booths and participants.

  • Activities disturbing the other booths and interfering with the general activities of the congress like; inviting a celebrity person, organizing drawings, meetings or activities conflicting with the time of the main congress activities, are prohibited. All the social events may be organized without interference to the unity of the congress.

  • No alcoholic beverages may be offered within booth area before the send of the sessions.

  • The sound systems installed within the booth area may not exceed 25 decibels. The audio systems’ sound level will be measured and controlled.

  • The signalization within the booth area will be handled by the congress organization.

  • The name and the place of each company will be defined on the booth area plan. This plan will be placed in two places, one in the entrance and one in the booth area. This information will also be on the congress program.

  • The authorized booth personnel may not organize any promotional activity out of their defined booth area. They may not walk around carrying any signs referring to the company and/or product.

  • The promotional materials to be distributed within the booth are to be appropriate to the laws and the related regulations of the Ministry of Health. TCS will not hold any responsibility on the subject. The list of all the activities within the booth and the samples of all promotional materials (medicine, booklets, books etc.) have to be delivered to the head office of Turkish Society of Cardiology by September 7th 2008, the latest.

  • TSC Board has the right to take necessary measures (to close the booth, to limit the activities for the coming year etc.) for all activities excluding the activities appropriate to above referred rules and booth activities.

  • It is requested that NO promotion of any company and product may be organized out of the booth area and commercial poster panels.

  • Authorized presentation personnel must be present by the booth during the opening hours.

  • Visual materials can be used for promotion within the booth area. The sound effects may not disturb other booths and the visual materials can not effect the general flow of the booth area activities.

  • The Hotel administration strictly prohibits bringing food and beverages from out of the convention area- to be offered free or by charge. Thus we remind you to ask for instructional information on the food and beverages you would like to serve in your booth.

  • All the booths must finish the necessary arrangements within the informed timelines. For the general order of the booth area, it is requested that the companied do not exceed the given hours.

  • The Security service within the Hotel is only in service of the hotel. The Turkish Society of Cardiology, Figür Congress Organization Services or the Congress Hotels by no means are responsible for any loss, harm, damage or theft related to the materials and within the location of your booth.

  • It is important not to interfere within the given location and measurements identified on the plan. In case of exceeding the given limits the booth installation will have to be dismantled and re-installed in accordance to the rules.

  • We kindly request not to hang, nail or fix anything on the hotel walls, without consulting authorized people of Figür Congress Organization Services.

  • Any material harm or damage to the hotel will be compensated, by the responsible company.
